An unsigned policy is a missing record.

The drug and alcohol testing policy isn’t optional paperwork. Under 49 CFR §382.601(d), every driver has to sign a statement certifying they received it, and you have to keep the original signed certificate. Not having it is a recordkeeping violation: $1,584 for each day it continues, up to $15,846.

Are electronic signatures legally valid for DOT compliance documents? +

Yes. Electronic signatures are recognized under the federal ESIGN Act, and FMCSA regulations (49 CFR 390.32) permit electronic records and signatures wherever the safety regulations require them. Every completed document comes with an audit certificate recording who signed, when, from what IP address and device.

Do drivers need an app or an account to sign? +

No. They get an email with a secure link, open it in their phone’s browser, fill in their fields, and sign with their finger. There’s also an in-person signing mode for when the driver is standing in your office.

What kinds of documents can I send? +

Any PDF you already use: drug and alcohol testing policies, general work policies, employment agreements, vehicle lease agreements, handbook receipts, custom consents. Upload the PDF once, drag signature and text fields onto it, and it becomes a reusable template.

Can more than one person sign the same document? +

Yes. Add as many signers as the document needs, in sequence (one after another) or in parallel (everyone at once). Countersigning is built in — a lease agreement can go to the driver first and come back to the fleet manager to countersign.

What happens after everyone signs? +

The final PDF is generated with every signature merged in, an audit certificate is attached, all parties get a copy by email, and the document files itself under the right driver — no downloading and re-uploading.

What if a driver ignores the document? +

Automatic reminders go out — the first after 3 days, then every 5 days, up to 3 reminders — and you can send a manual reminder anytime. Documents that never get signed expire automatically (30 days by default), so nothing sits open forever.

Can a signer refuse to sign? +

Yes. A signer can decline with a reason. The document is voided, every other signer is notified, and the decline is recorded in the audit trail — so you have documentation either way.

Can't I just use DocuSign for my driver files? +

You can collect a signature with DocuSign — but it doesn’t know what a driver qualification file is. Every signed PDF still has to be downloaded, renamed, and filed by hand, and nothing warns you when a required policy sits unsigned. Here the signature, the filing, the reminders, and the audit trail happen in one motion — inside the same platform that manages your DQFs, MVRs, and PSPs.
